Here’s a quick checklist for simple emails that are easy to read and action.
Use a clear, concise subject line noting purpose of the email and if action needs to be taken.
Use a font size that can be easily read.
Where possible, address the email using the person’s first name e.g. Hi Bill
Sum up the main point of the email in first sentence
Do the following so the email can be quickly and easily read:
Use plain language and keep it brief
Use bullet points or numbered lists, short paragraphs and bolded headings
Use options under the Review menu to check spelling, grammar and accessibility
Sign off with your first name
Do not create your own auto signature. An auto signature is applied with your first and last name, role title and email address on all external emails. For internal emails, this is applied once to the first email in a trail.
Complete a comms brief requesting a review of your regularly used email templates to ensure they are consistent with our Branding and our Communications Guide.
